The School Program Administrator serves as the operational lead for coordinating Virtual Peace of Minds delivery of school-based teletherapy services across multiple school districts under the Virginia Department of Education contract. This role ensures seamless implementation, communication, and service delivery between internal teams, clinical providers, and school personnel.

As the central liaison for school partners, the School Program Administrator is responsible for managing onboarding, overseeing referrals and reporting workflows, addressing logistical concerns, and ensuring each district receives the full scope of services associated with their selected tier. This is a highly collaborative and relationship-focused role requiring expertise in program management, K12 systems, and service accountability.

Key Responsibilities:

School & District Coordination

  • Serve as the primary point of contact for school administrators, counselors, and designated liaisons across all participating districts.
  • Oversee onboarding of new schools, including scheduling kick-off meetings, distributing program materials, and aligning expectations.
  • Maintain ongoing communication with districts to ensure satisfaction and responsiveness.

Program Operations & Logistics

  • Monitor referral submissions, session completions, and service delivery timelines to ensure alignment with district tier selections.
  • Troubleshoot and resolve non-clinical issues related to scheduling, parent communications, access delays, or school process gaps.
  • Coordinate with internal teams (Clinical Director, Intake, Family Resources) to resolve logistical bottlenecks.

Utilization & Reporting Oversight

  • Track school-level utilization to ensure full access and identify underutilization or system gaps.
  • Support the preparation and distribution of monthly utilization summaries and quarterly outcome reports.
  • Ensure districts have access to necessary documentation for contract and compliance review.

Program Development & Expansion Support

  • Assist with identifying school sites for future expansion.
  • Collect district feedback to inform service improvements and new offerings.
  • Represent VPM in school-based meetings, conferences, or VDOE briefings as needed.
  • Assist in the development of culturally responsive materials and communication strategies to engage diverse school communities.
  • Collaborate with leadership on program growth, grant reporting, and quality assurance initiatives.
  • Ensure compliance with privacy regulations (e.g., HIPAA, FERPA) and organizational policies.

Qualifications:

  • Bachelors degree in Education, Public Administration, Social Work, or a related field required
  • 35 years experience in school-based programming, nonprofit program administration, or multi-site service coordination
  • Strong understanding of K12 public school systems and district operations
  • Experience managing service contracts, compliance documentation, or inter-agency partnerships
  • Detail-oriented with excellent organizational and communication skills
  • Proficiency in Google Workspace, Excel, and project tracking tools (e.g., Trello, Airtable, Clickup)
  • Experience working in a remote team environment preferred
  • Background in mental health, telehealth, or education-related services a plus
