Reports to: Executive Director & Chief Operating Officer

Position Summary

Be Pro Be Proud is seeking a highly organized, results-driven Executive Assistant to provide critical administrative and operational support to the Executive Director (ED) and Chief Operating Officer (COO). 

This individual will play a key role in ensuring smooth daily operations, managing communications, coordinating logistics, and supporting governance functions as the organization scales its impact across Arkansas and the United States. 

The ideal candidate thrives in a fast-paced, dynamic environment, is proactive in anticipating needs, and brings exceptional attention to detail to every task. 

Key Responsibilities  

> Executive Support & Coordination  

  • Manage scheduling, calendars, and communications for the Executive Director and COO. 
  • Serve as the primary point of contact for internal and external stakeholders, including partners, elected officials, and board members. 
  • Coordinate logistics for meetings, presentations, and special events. 
  • Draft, edit, and prepare correspondence, reports, and presentations. 
  • Monitor and manage incoming calls, emails, and requests to ensure timely follow-up and prioritization. 
  • Maintain office operations, supplies, and apparel inventory to ensure continuity during travel or external engagements. 
  • Support the preparation of materials for presentations to governmental bodies, board members, funders, and partners. 
  • Perform additional administrative duties and special projects as assigned. 

> Board Governance & Support  

  • Schedule and coordinate Board of Directors and committee meetings, events, and retreats. 
  • Prepare and distribute agendas, minutes, and follow-up documentation. 
  • Assist with governance documentation, compliance requirements, and records management. 

> Administrative & Operational Support  

  • Coordinate travel arrangements, catering, and event logistics. 
  • Maintain confidentiality and professionalism in all communications and operations. 
  • Represent Be Pro Be Proud with professionalism and enthusiasm, ensuring all interactions reflect our mission and values. 

Qualifications  

> Required:  

  • Positive, proactive, and solutions-oriented attitude. 
  • Demonstrated experience providing executive-level administrative support. 
  • Excellent organizational, time management, and multitasking skills. 
  • Strong written and verbal communication abilities. 
  • High level of professionalism, discretion, and confidentiality. 
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). 

> Preferred:  

  • Experience working within nonprofit, education, or mission-driven organizations. 
  • Familiarity with nonprofit governance and board relations. 
  • Comfort working in a fast-paced, evolving environment and balancing multiple priorities.
